Funding participation in events

 

The aim of financing the participation of Polish scientists in international conferences, workshops, schools, or bilateral meetings related to XFEL research or XFEL technology is to promote and support research conducted by Polish scientists using XFEL, establish contacts between Polish researchers and the XFEL user community, and enhance scientific competencies related to the use of XFEL and complementary techniques.

 

Within the framework of the Ministry of Science and Higher Education grant, it is possible to obtain refinancing for participation in international conferences on research using XFEL.

Persons eligible for refinancing are scientists, doctoral students and students of Polish scientific units.

We invite you to participate in the annual EuXFEL user meeting, which will take place on January 26-30, 2026, at the EuXFEL headquarters (Schenefeld, Germany).

It is possible to obtain refinancing for participation in the conference (in accordance with the rules set out above) provided that an abstract related to XFEL research is submitted.

The procedure for obtaining refinancing for participation in conferences, workshops, and schools related to XFEL research is as follows:

– submit an application (preferably in English) with a brief justification (application template below) to: cd-xfel@ifpan.edu.pl
– acceptance of the application by the Project Council;
– participation of the applicant in the conference/workshop/school;
– inclusion of acknowledgements to the Ministry of Science and Higher Education in the presentation/poster;
– submission of a short report on the event within 2 weeks of the event to: cd-xfel@ifpan.edu.pl
– settlement of the trip at the home institution;
– submission by the contact person (listed in the framework agreement) of a debit note together with the documentation required in the regulations;
– reimbursement of costs to the home institution up to a maximum of PLN 10,000.

Obtaining refinancing requires a framework agreement between IF PAN and the parent institution.
Existing framework agreements: Warsaw University of Technology, AGH University of Science and Technology in Krakow, Institute of Low Temperature and Structural Research in Wrocław, Institute of Nuclear Physics of the Polish Academy of Sciences, University of Warsaw, Adam Mickiewicz University in Poznań, University of Silesia, Cardinal Stefan Wyszyński University. The agreement is currently undergoing approval procedures at the Institute of High Pressure Physics, Polish Academy of Sciences. A framework agreement is not required for employees of the Institute of Physics, Polish Academy of Sciences.
